Emailing Reports

 

Total Party Planner has built in functionality to email your reports (such as the Proposal and Invoice) in .PDF format. The report will automatically be formatted and attached to an email in the .PDF format.

 

1.    Select the ‘Reports> All’ option from the Navigation Bar.

2.    Select a report to email. The Report must be opened to the window in Preview mode. Refer to the topic Report Selection for more information on printing to the Preview window.

3.    Click the ‘Email Report’ button on the Preview Window toolbar. This is the button with a picture of an envelope and red arrow pointing down. The Export dialog box appears.

4.    Select an ‘Email From:’ from the drop-down list.

5.    Enter in an ‘Email To:’ address(es). Optionally enter in CC and BCC email addresses(es).

6.    Enter in an email ‘Subject:’.

7.    Enter in a message in the ‘Body:’, or select a message from the ‘Email Body Message’ drop-down list. Click the ‘Quick Add Message’ button to add a predefined email message.

8.    Enter in a name you wish to give the ‘pdf’ file you are sending in the ‘Filename:’ text box.

Helpful Hint: The Client receiving the email will need to have the Adobe Acrobat viewer on their computer to read the report. Most people will have the appropriate software. If not, a FREE download is available at www.adobe.com .

9.    If applicable add any attachments to the email.

10.  Click the ‘Request a return receipt’ check box if you wish to send a request to your recipient(s) to notify you when they have received the email.

11.  Click the ‘Send’ button.

12.  Your e-mail client (ex: Microsoft Outlook) may be setup to warn that an outside application is trying to send an email. You will need to confirm that the operation is allowable. Refer to your particular documentation to turn this option off if desired.
