Reminders

 

The Reminders module is where you will define tasks such as important meetings, tasks, call backs, notes for Staff, or virtually anything else you want to keep track of on a particular day. Different statuses (Low, Medium, High, Urgent) are assigned to define level of importance. Open reminders are automatically displayed upon opening the Total Party Planner application. After the initial program load, the database is queried every 15 minutes for any reminders within the 2 hours. If any reminders are found for the next 2 hours, the reminders form will be displayed

Helpful Hint: The reminder form displays as long as you are working within the program, more specifically, upon clicking any of the toolbar buttons.

Helpful Hint: Be sure to mark reminders as ‘Complete’ so they do not keep re-appearing each time Total Party Planner opens.

 

There are two ways to open the Reminders module:

(1) From the Navigation Bar select ‘Reminders’. The Reminder grid defaults to loading any Reminders for the current day.

(2) Select the ‘Calendar> Monthly’ option from the Navigation Bar. Select a day on the Calendar. Click the ‘Reminders’ button. The Reminders grid defaults to loading any Reminders for the day selected on the Calendar.

Reminders are categorized into four views:

·     Today

·     This Week

·     This Month

·     Date Range (user defined)

 

Each view can be sorted by status of ‘Complete’ or ‘Not Complete’. When opening the form from the Calendar view, the default view category is ‘Date Range’ with the date range being the currently selected day on the calendar. Again, opening the Reminders form from the Navigation Bar always defaults the view to ‘Today’.

Helpful Hint: If you use login ID’s to access the program, reminders can be filtered to show just the reminders put in under your Login ID. Check the ‘Show Reminders Input By My Login ID Only’ checkbox.

 

Adding a Reminder

1.    Click ‘Reminders’ from the Navigation Bar.

2.    Click the ‘Add Reminder’ button. The ‘Add Reminder’ window appears.

3.    Select a ‘Priority:’ from the pull-down list. A reminder marked as ‘Urgent’ will appear bright red in the list.

4.    Double-click the ‘Date:’ box. Select a date from the calendar and click ‘OK’.

5.    Type in or select a ‘Time:’ from the pull-down list.

6.    Enter your note in the ‘Reminder:’ text box.

7.    Click the ‘Save’ button.

 

Editing a Reminder

1.    Click the ‘Edit Reminder’ button. The ‘Edit Reminder’ window appears.

2.    Make appropriate modifications.

3.    Click the ‘Save’ button.

 

Deleting a Reminder:

1.    Select the appropriate grid row.

2.    Click the ‘Delete Reminder’ button.

3.    Confirm deletion.

 

Printing the List:

1.    The list shown in the grid can be printed by clicking the ‘Print List’ button.
