Total Party Planner provides many useful reports to help organize your planning and follow-up for each event. Reports are divided into 5 categories: Client, Event Preparation, Financial, Inventory, and Miscellaneous.
1. Select the ‘Reports> All’ option from the Navigation Bar.
2. To further refine the report list, select the desired category from the ‘Category’ drop-down list. The reports shown will be related to the selected category. You can view all the reports at one time (default when the form opens) by selecting the ‘All’ category.
3. Select a report from the list by clicking the ‘Select’ link.
· Printing Parameters: Some reports show data for only one particular event or for all events within a selected range of dates. The appropriate fields appear on the Report window for each report. If the frame is available, select the appropriate option. You may be prompted to select other options specific to a particular report such as printing detail or summary, custom logos, certain sections, etc.
· Event Status: Select only the Event Statuses you want to display on the report. For example, perhaps you want to see the monthly ledger for all Events in the database except anything cancelled. The cancelled option should not be checked in this case.
Print Preview
Total Party Planner allows you to preview your report on the screen before printing it to paper.
1. After selecting the appropriate report, enter the parameters for the report.
2. Click the ‘Show Report’ button. From Print Preview you can then print the report to the printer by clicking the printer icon located on the report screen toolbar.
3. After clicking the print button icon, the ‘Print Setup’ window appears (see below).
Print Setup
1. Select Printer Before Printing: Prompts you to select an available printer before actually printing the report.
2. Print Range: Select to print all of the pages in a document, or a range of pages.
3. Copies: Input the total number of copies and whether or not to collate.
4. Click the ‘OK’ button.
