Total Party Planner allows for different tax schemes for different localities. For example, some states require that the tax calculations use the tax rate of the Venue where the Event takes place. Other states require calculations based on the tax rate of your business Venue. Total Party Planner allows you to set up three different tax rates for each locality. In this section you will define your tax information as well as tell Total Party Planner how to tax your Event Menu, Liquors and Service Charge/Gratuity.
1. Select Administration> Business> Taxing Rules from the Navigation Bar.
2. The Tax Value & Names tab is selected.
Add City/County Tax Location
A Locality is the tax scheme/table you will assign to any given Event. After creating a locality, the actual tax percentage will be setup and assigned to the items Menu, Liquor, and Service Charge detail. Note that any number of these schemas can be setup to handle different area taxes.
1. Click the Add New Location button.
2. Type in the name of the city or county.
3. If applicable enter in a name you wish your client to see for Tax 1, Tax 2, and Tax 3, i.e. Rental and Beverage Tax
4. Click the Save button. The name will appear in the list. You will also notice that some default values are pre-populated for you in the grid on the Tax Values tab.
Add/Edit Tax Values
1. Click the Add Tax Segment button to add a new Tax Segment. Click the Edit link next to the appropriate Tax Segment on the Tax Value & Names tab to edit tax values.
2. Type in the appropriate rates for Tax 1:, Tax 2:, and Tax 3:. You can leave the default Start Date: or change it at this time. Note: Be sure the date is sometime in the past to accommodate any past bookings you may want to enter.
3. Click the Save button.
Important Note: When tax rates change, be sure to use the Add Tax option to build another tax detail. Editing a tax segment will alter past invoices that fall within the effective dates of that segment.
Delete a Tax Segment
1. Find the tax segment to delete from the Tax Values grid.
2. Click the Delete Tax link.
Note: You must have at least one tax segment. Total Party Planner will warn you if the segment you are deleting is associated with an event.
Tax Names
You may, optionally, name the individual taxes (Tax1, Tax2, Tax3) for clarity on the invoice.
1. Click the Edit Tax Names button.
2. Fill in the desired name(s) for each valid taxing segment.
3. Click Save.
